Job Description 

Our client, who is an independently owned, tight-knit private medical clinic in the Centre of Aberdeen is looking for a hard-working and motivated individual to join their team as a Service & Clinic Administrator Modern Apprentice. The clinic is highly specialised and dedicated to providing the best occupational health services to companies and professionals within the Oil and Gas sector and others.

Job Summary:

The post holder will be able to demonstrate organisational and customer care skills, building strong relations with clients and building business opportunities. The role will also require the individual to have great attention to detail whilst carrying out daily responsibilities.

They will be responsible for the accurate management of the clinic diary, patient records prior to and following medical assessments, with the appropriate documents shared with clients and patients.

With good interpersonal skills and attention to detail, the post holder will be confident to work on their own initiative referring any medical concerns or matters to the line manager for review. This role will involve working on your own initiative and may include client site visits.

Responsibilities:

The main duties of the role include:

  • Providing a professional and patient-focused service to our Clinicians, their patients and visitors attending our Clinic.
  • Answering the telephone for queries and taking bookings.
  • Responding to e-mail enquiries.
  • Preparing reports, organising documents, managing records, and scheduling appointments.
  • Taking payments.
  • Keeping records of the clinic equipment and reporting any issues to the Clinic Manager.

The post holder will be required to:

  • Follow company processes and procedures to ensure that the best services are delivered to the patients.
  • Keep patients’ records accurate, legible, and observe confidentiality at all times.
  • Monitor and maintain health and security of self and others.
  • Contribute to the creation, review and maintenance of clinic policies & procedures.
  • Suggest recommendations to support service improvement and without reducing the service quality, any areas that will support the commercial interest.
  • Keep Excel records of invoices and appointments.
  • Closely cooperate with all the team members.

Your training will start with a 6-12 months Digital Application Support Modern Apprenticeship, which consists of learning on the job, as well as our custom-built E-Learning platform. You will develop all the skills you need to pass your work-based assessments. Our assessors are available to provide one-to-one support and will work with your line manager to ensure you settle into your new role.

You will gain a Diploma in Digital Application Support, which is a Nationally recognised qualification and may be used to gain employment and further your career in administration

***Please note all candidates must be 16-24 due to government apprenticeship funding and must be able to easily commute to Aberdeen every weekday. We welcome applicants from aged 16-29 if you are care experienced or a person with a physical disability, learning difficulty, mental health difficulty, social / communication impairment, or long-standing health issue***

Hours: Monday to Friday (37.5 hours per week)

Salary: £18-20K per annum
