Service and Clinic Administrator Apprentice

Job Description 

Our client, who is an independently owned private medical clinic in the Centre of Aberdeen is looking for a hard-working and motivated individual to join their team as a Service and Clinic Administrator Apprentice. The clinic is highly specialised and dedicated to providing the best occupational health services to companies and professionals within the Oil and Gas sector and others.

The purpose of the role is to provide a warm, professional and confidential first point of contact for the clinic both in person and on the phone. The apprentice will be responsible for the accurate management of the clinic diary and all patient records prior to and following appointments.

Responsibilities:

  • Provide a professional and patient-focused service to their clinicians, their patients and visitors attending the clinic.
  • Answer the telephone, take bookings and deal with queries.
  • Respond to e-mail enquiries.
  • Prepare reports, organise documents, manage records, scheduling appointments.
  • Processing payments.
  • Maintain records of clinic equipment and report issues to management.
  • Follow company processes and procedures to ensure that the best services are delivered to patients.
  • Keep patients’ records accurate, and legible, whilst observing confidentiality at all times
  • Monitor and maintain health and security of self and others.
  • Contribute to the creation, review and maintenance of clinic policies and procedures.
  • Suggest recommendations to support service improvement without reducing the service quality.
  • Keep the Excel records of invoices and appointments.
  • Closely cooperate with all the team members.

  • Qualification in Admin or Similar (Desirable).

Working hours: Full-Time, Monday to Friday (9am-5pm)

Wage: £7.50 per hour

Your training will start with a 12-18 months Digital Application Support Modern Apprenticeship, which consists of learning on the job, as well as our custom-built E-Learning platform. You will develop all the skills you need to pass your work-based assessments. Our assessors are available to provide one-to-one support and will work with your line manager to ensure you settle into your new role.

You will gain a Diploma in Digital Application Support, which is a Nationally recognised qualification and may be used to gain employment and further your career in administration.

***Please note all candidates must be 16-24 due to government apprenticeship funding and must be able to easily commute to Aberdeen every weekday. We welcome applicants from aged 16-29 if you are care experienced or a person with a physical disability, learning difficulty, mental health difficulty, social / communication impairment, or long-standing health issue***
